Manage users
Add users to your account, edit their details and roles, configure their access controls, and enable or disable their accounts. Users with the Account admin role can manage users. Users with custom roles can also manage users if they have the users/manage permission.
Find, enable, or disable users
To manage users:
- Select the Account settings icon (gear) in the web interface header, and go to Users.
- The Users tab lists each user with their name, username, email address, number of roles, last active date, status, and seat.
- You can search for users, filter the list, or select Export CSV to export it.
To enable or disable a user, select the three-dot menu next to the user. A disabled user cannot log in or receive notifications. Their profile stays in the user list, marked as disabled. You cannot disable your own user.
Add a user
When you add a user, you create their profile, and the user receives an email invitation to join the account.
To add a user:
- Select Add user > Create profile.
- Enter the email address, mobile number, first name, last name, language, and time zone of the user.
- Assign one or more roles. Roles set what the user can access and do.
- Optional: Set access controls: restrict access to an IP address or range, or set API access.
- Select Create profile. The user receives an email with instructions to join.
Edit a user
To open a user profile, select the name of the user, or select Edit from the three-dot menu next to the user. The profile has three tabs:
- Details: Update the first name, last name, language, time zone, and date and time format of the user. Under User details and security, you can also update the mobile number and email address, send a password reset, and enable or disable the user.
- Roles: Turn each role on or off for the user.
- Access controls: Set IP safelisting, mobile authentication, 2FA, and API access for the user.
Access controls
Set access controls for each user, on the Access controls tab of the user profile:
IP safelisting
With IP safelisting, a user can access the platform, including the APIs, only from the IP addresses or ranges on their list. If the list is empty, the user can access the platform from any IP address.
What a user can do depends on their role:
- Account admin: View and edit their own safelist and the safelist of every other user.
- Other roles: View their own safelist only.
To add, edit, or remove IP addresses or ranges:
- Open the user profile, and go to Access controls > IP safelisting.
- To add the IP address you are using, select Add Current IP Address. The page shows your current IP address next to the option. If it is already on the list, the option is not available.
- Under Allowed IP addresses, add the IP addresses or ranges that can access the platform, for example
192.168.1.1or192.168.0.0/16. - Select Save.
The safelist applies to all services:
- HTTP API
- SMPP API
- Web interface
You can also have a safelist for your whole account. It applies to all users and all interfaces, and takes priority over the safelists of individual users. You cannot set it in the web interface. To request it, a user with the Account admin role contacts your account manager or Support. For safelisting the platform IP addresses on your side, see IP address safelist.
Mobile authentication
Register mobile devices to secure access to your account. Mobile authentication works only with the Inbox mobile ap.
Channel selection for 2FA
Choose the channel that delivers your 2FA one-time password (OTP) when you log in from a new device:
- Open the user profile, and go to Access controls > Channel selection for 2FA.
- Choose Email, SMS, or Voice.
- Select Save.
The channels you can choose depend on your account type, region, and verified personal details. The platform does not always use your preferred channel: if it is not available, the platform sends the OTP on the next available channel.
API access
API access controls only Basic authentication for the user. It does not affect authentication with an API key or OAuth.
To enable Basic authentication over SMPP, HTTP, or both:
- Open the user profile, and go to Access controls > API access.
- Enable SMPP access, HTTP access, or both.
Only users with the Account admin role can enable Basic authentication for users. For other authentication methods, see API authentication.
Language and format
Each user can choose their own web interface language.
To change it:
- Open the user profile.
- Select a language from the Language list on the Details tab.
- When you change the language of your own user, the web interface switches to that language immediately.
The web interface is fully available in these languages:
- Albanian
- Arabic
- Bosnian
- Chinese (Simplified)
- Chinese (Traditional)
- English
- French
- German
- Greek
- Italian
- Japanese
- Korean
- Portuguese
- Russian
- Slovenian
- Spanish
- Swedish
- Turkish
- Ukrainian
Set the account defaults
The account default language and date and time format apply to new users. The platform onboards new users in the default language.
To change the defaults:
- Select the Account settings icon (gear) in the web interface header.
- Go to Language and regional settings.
- Select Save changes.
Users with the Account admin role can change the defaults. They can also set a different language and format for a user, when they create the user or later.
Manage roles
Choose default roles, or create custom roles.
Security settings
Set SSO, 2FA, and password rules for all users.
Audit log
See which user performed an action in the web interface.
